1. Access the “Campaign Emails” section
From the main navigation menu on the left, go to Emails, then select Campaign Emails. You will see an overview of:
sent email campaigns
saved drafts
emails currently being sent
Click on “Create” to start a new campaign or select a predefined template from the Template Library.
2. Set a campaign title
At the top of the screen, enter a name in the “Title” field. This internal title is not visible to your recipients and is used solely for team organization and tracking.
Example: “Donation Appeal Lower Austria – April 2025”
Below you can deinde the key metadata for your email.
Subject: The subject line that will appear in the recipients’ inbox.
Sender Address: Choose the email address from which the campaign should be sent (must be previously configured at the Settings).
Preheader (optional): A short preview text shown in many email clients below the subject line.
Reply-to (optional): If replies should go to a different address than the sender, you can specify it here.
Note: The preheader should complement (not duplicate) the subject and offer additional value or clarity.
4. Edit the content of the email
Click on “Edit content” to open the campaign editor. You will be redirected to a separate editor where you can define layouts, text blocks, images, and personalization variables.
For a full explanation of the email editor, please refer to the separate help article: “Using the Editor”.
5. Send a test mail
Once you’ve created the content, you can send a test email to preview how it looks in an inbox.
Scroll down to the “Test mail” section.
Enter one or more email addresses (separated by commas).
Click on “Send test mail” to receive a sample.
Test emails allow you to verify formatting, content, links, and personalization variables before sending the final campaign.
If you changed the content of the email, it can take up to a minute to validate your changes. You will not be able to send a test email while the email is still being validated.
6. Select a target group
Navigate to the “Recipients” section by using the left-hand progress menu or clicking "Next".
Select an existing target group from the dropdown list, or click “Create new target-group” to define a new one.
7. Review and finalize your campaign
The final Summary step gives you a complete overview of the campaign configuration:
A visual preview of the email
The defined sender name and email address
The selected recipient group
At this point, you have the following options:
Send now: Send the email immediately
Plan: Schedule the email to be sent at a specific time in the future
Save & Close: Save your work as a draft to return to later
8. Optional: Add an A/B test variant
From the summary view, you can also create A/B test variants by clicking “+ Variant”.
This allows you to compare performance between different:
subject lines
content blocks
or design layouts
The A/B testing process works as follows:
A sample portion (10% of your audience) receives variant A, Another portion receives variant B.
Based on your settings (e.g. highest open rate or click rate), the better-performing version is then automatically sent to the remainder of your audience after the test. The test can take up to 1 hour.
If your audience is less than 500 Contacts, the entire audience will be split and all emails will be sent immediately.
